• •Usage data: Session data, IP address (for security and rate limiting), internal resource identifiers (for operational debugging), and anonymous analytics data such as page views, browser type, device type, and referring source to help us understand platform usage and improve our service.

2. How We Use Your Data

We use the information we collect to:

• •Provide AI-powered CV evaluation and feedback.
• •Perform CV-to-job matching analysis and generate cover letters, interview guides, and recommendations.
• •Run automated weekly job searches based on your preferences and CV.
• •Send email notifications for evaluation results, job recommendations, and account-related actions (e.g., email verification, password reset).
• •Authenticate and secure your account.
• •Protect the platform against abuse through rate limiting and IP-based security measures.
• •Collect anonymous usage analytics to understand how users interact with our platform and improve our service.

3. AI Processing

We use Google Gemini AI to analyze CVs, generate evaluation feedback, match CVs to job descriptions, generate search keywords, and score job listings.

4. Data Storage & Security

Your data is stored securely on our own servers. We implement the following measures to protect your information:

• •Password security: Passwords are hashed using scrypt and never stored or transmitted in plain text.
• •Session management: Sessions expire after 7 days and are cleaned up regularly.
• •Rate limiting: API endpoints are rate-limited to prevent abuse. IP addresses that exceed limits are temporarily blocked.
• •File access control: Uploaded files can only be accessed by the user who uploaded them.
• •TLS encryption: All data in transit is encrypted via TLS in production environments.

5. Cookies & Analytics

We use privacy-friendly, first-party analytics to understand how our platform is used. This helps us improve TembusCV while respecting your privacy.

Our analytics:

• •Collects only anonymous, aggregated data such as page views, browser type, device type, and referring source.
• •Uses first-party cookies only — no third-party or cross-site tracking cookies.
• •Does not collect personally identifiable information.
• •Does not track you across other websites.
• •Anonymizes IP addresses so they cannot be used to identify you.

No cookie consent banner is required as our analytics do not use invasive tracking techniques.

6. Data Retention

We automatically delete your data after it is no longer needed:

• •CVs are automatically deleted 30 days after evaluation, unless they are associated with a job application review.
• •Job application reviews are automatically deleted 30 days after evaluation.
• •Job search runs and evaluations are automatically deleted 30 days after creation.
• •Orphaned files not linked to any record are deleted daily.

You may also manually delete your CVs, job application reviews, and job search runs at any time through the dashboard once processing is complete.

7. Email Communications

We may send you emails for the following purposes:

• •Account verification and password reset.
• •CV evaluation results and job application review results.
• •Weekly job search recommendations (if you have an active job search and job search emails are enabled).

You can manage your email notification preferences at any time in your Settings page.

8. Your Rights

You have the following rights regarding your data:

• •Access: View your uploaded CVs, evaluations, and job application reviews through the dashboard.
• •Delete: Manually delete your CVs, reviews, and job search runs at any time.
• •Manage notifications: Toggle email notifications on or off for each feature in Settings.
• •Language preference: Choose your preferred language for the interface and AI results.
• •Account closure: Request account deletion by contacting us at the email below.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated "Last updated" date. We encourage you to review this policy periodically. Continued use of TembusCV after any changes constitutes your acceptance of the updated policy.
